How to connect your Ministry Platform and eSPSACE account in order to sync events into eSPACE for integration scheduling

Ministry Platform and eSPACE Integration 

 

 This integration was designed by both companies so that customers can continue to use Ministry Platform to enter all their events and then have eSPACE Event Scheduler automatically "pull them in" so customers can also use eSPACE FACILITeSPACE integrations to have their event automatically schedule their HVAC, doors and digital signage displays.

   

 

How This Sync Works

This is a one-way sync from MinistryPlatform to eSPACE Event Scheduler by matching the space names on events in MinistryPlatform with space names in your eSPACE Event Scheduler account.

  • The purpose of this integration is specifically to continuously sync every few minutes and to only bring over the space names and a few days of events at a time with minimal information so that FACILITeSPACE knows which thermostat/HVAC unit, door or digital signage display to update.
  • Once the data syncs to eSPACE, no changes should be made in eSPACE. For simplicity’s sake and to ensure that the integration works, ALL changes should ONLY be made in your original ChMS system.

 

 

Part 1: Set Up Your MinistryPlatform Events to Integrate with eSPACE

  • Make sure to contact MinistryPlatform support for any and all assistance with their product, including getting the credentials needed to enter in your eSPACE account for HVAC, door, and digital signage integrations. 

 

Part 2: Connect Your MinistryPlatform Account to eSPACE

Add the MinistryPlatform Client ID and Client Secret Key to eSPACE 

3. Login to your eSPACE account

4. From the left side menu click on Integrations

5. From available providers, choose MinistryPlatform and click on the logo.

 

6. Add the following information:

  • A. Base URL,
  • B. Client ID,
  • C. Client Secret,
  •  

7. Save.

 

8. Once saved, click the "Edit" button to specify which direction you want the events to sync.

 

9. Choose "Pull events from MinistryPlatform". 

  • When you are creating all your events in your MinistryPatform account so they will sync to eSPCE Event Scheduler in order to schedule your HVAC, doors, and/or digital signage, "Pull events from Ministry Platform" is the correct option.

Spaces and Locations

10. ALL spaces MUST be synced over from your MinistryPlatform account into your Event Scheduler account in order for this integration to work. This happens by selecting "Sync All SPace From MP" under Settings > Basic > Spaces. This means that NO spaces can be manually added in eSPACE, edited in eSPACE, or rearranged in the hierarchy in eSPACE. 

  • In order to update space names in eSPACE, update the "Room Name" column/field in your MinistryPlatform account. The "Room Name" field is the only one that syncs to eSPACE Event Scheduler, the "Room Number" column/field does not sync or concatenate with the "Room Name" field.
  • Locations in MinistryPlatform will sync with your spaces into eSPACE and in order to delete a location, the location must be deleted in MinistryPlatform first and then in eSPACE. 

 

11. Email support@espace.cool and ask them to configure your account on the backend so eSPACE starts to “pull” in events from your MinistryPlatform account.

  • Also, ask support to configure your FACILITeSPACE account for your specific HVAC and/or door company.

 

See your Events in eSPACE

12. About 15 min after support does their part, you enter the first data source, eSPACE will start polling Ministry Platform every 15 minutes to pull in your approved events and rooms.

Part 3: Setup the Events in eSPACE to Schedule Your HVAC, Doors, and Digital Signage

13. To then set up your eSPACE FACILITeSPACE account to schedule your HVAC, doors or digital signage, make sure you also have COOLSPACE, SECURESPACE and/or INFOSPACE added to your eSPACE subscription and have contacted support to have them configure your FACILITeSPACE account for your specific HVAC and/or door company.

  • Please check with sales or support first to make sure your HVAC company and/or door company is one of the companies that we have a partnership with BEFORE adding to your subscription.

14. Once you do, then click My Modules (at the top right) and select FACILITeSPACE.

 

15. Then click on either HVAC and choose your type, Digital Signage and start creating displays, or click on Access Control and choose your door type.
