  1. Add a "Do Not Allow Request unless X days out" option to General Settings

    This option exists when creating an Event Request form, but it would be helpful on the "internal" side too. If possible, being able to tailor this to an item would be really useful as some Spaces/Resources/Services need a lead time, but most do not.

    Great news! We updated eSPACE this morning with a new setting to keep users from requesting events sooner than X days in the future. We don’t have the KB article written for it just yet, but you can find the setting in Settings >> Advanced >> General >> Event Creation. The setting is called “Don’t allow Events to be Created with an Event Start Time sooner that X days in the future”. When enabled, you can set the minimum number of days lead-time.

  2. Admins also Sub Admin

    Some of our "Event Scheduler Admins" are also the person most responsible for a particular "approval area" and should be the person notified about approving that specific area. I would like an admin to also be able to be a "sub-admin" or the specific approver for a specific area just like sub-admins are.

    Many of our admins are only admins because we want them to have rights to the system because of their leadership role. But they are not someone who is working in the eSpace system every day. We need them to be able to get that specific notification…

  3. New HELP button

    The new HELP button in the lower right corner of our screens is nice. However, it covers all the other buttons in the same area located on each tab. We are having to pull the scroll bar down to click on this button which becomes an annoyance. It would be helpful to have the "HELP" button located in the lower left corner of the screen where it will not cover any other necessary buttons.

    Thanks for your feedback and suggestion. A number of other folks reported this same observation via a few different channels. As a result, we’ve remove the button completely. The help window can (still) be access using the “Help” >> “Support” link in the upper right area of all pages in eSPACE.

  4. delete occurrence

    It would be wonderful if we were able to delete an occurrence of an event that was already approved, without having to get approval again once that is done.

    Admins currently have the ability to not require re-approval when an event occurrence is deleted or canceled by going to Settings>Advanced>General>Event Creation and un-checking the following setting:
    “A recurring event must be re-submitted if an occurrence is deleted/canceled”. Please reach out to Support if you have any questions.

  5. I would like to see an email reminder go out to the event contact "x" # of days prior to their event.

    Currently an event contact does not receive any type of reminder notification prior to their event as confirmation. I think this is critical and would like to see this moved up the development board quickly.

  6. Help with last minute changes to events

    Please add a feature where last minute changes to events (such as within 24 hours) are not "accepted" by the system, and / or, changes to "notes" also ping an updated email. As it is now, another admin can request a change in set up, such as in the notes, and we don't even know they did that.

    Great news! This popular feature request has been been developed and is now available for use in your eSPACE account. You can find the setting to prevent last minute changes on the Settings >> Advance >> General page under Event Creation Section.

  8. Schedule Names on Reports

    Schedule names appear on the internal calendar which is awesome, but the schedule names don't appear on "Space Usage", "Event List", and "Event Setup" reports. There also isn't an option to show the schedule name field in "Report Builder>space usage". (It is available in "Report Builder>Event List").

    The names of the schedules are very significant and need to be visible on reports.

    Great news! We recently deployed an update that adds the Schedule Name to Event Setup, Event List, and Space Usage reports, if the name differs from the Event Name.

  9. Block users from making changes to an event within a certain timeframe

    For example, no changes can be made to an event within 7 days of the scheduled event. Admins can make changes, if necessary.

    Great news! This suggestion is already in eSPACE, via the setting “Don’t Allow Events to be Updated x Hours Prior to the Event Start Time”. We actually added this functionality a little while back, but it seems a duplicate “Idea” was updated, and this ideas was not updated.     Good news! We just updated eSPACE with an idea you submitted or voted for. When completing a form for an Item (space, resource, or service) of an event, if that same form is used for other items of the event, you can choose to apply the form answers to other Items in the event.!

  12. I would like to be able to send a reminder email a few days to a week before the event.

    I want the email alert, as well as being able to send out the information to others associated with the event, such as our tech director, our security officer, etc.

    It’s been a while since this idea has had some activity, but I believe this suggestion has been completed over the course of several updates during the past year or so. Copying an event now will include all event details, including spaces (rooms), and other event items. Also, when adding spaces to an event, if the forms are the same for the spaces, you only have to complete the form once, and eSPACE can copy the form answers to the other spaces (kb article – https://support.smartchurchsolutions.com/hc/en-us/articles/4402625607181 )

    In setting this idea to “completed”, the votes applied to it will be released, and you are welcome to apply them to other ideas, or suggest an idea with more details that is similar to this one (if you feel there is more that needs to be done with this idea).

  16. When adding a schedule to an event, there is no option to make the add-on schedule PRIVATE.

    Ex: A concert may be desired on the Public Calendar but the Meet-and-Greet may be Private. The add-on schedule also shows publicly (shows as the event name). This also poses an issue for people who use the "Add Schedule" option for Setups the night before an event.

  18. Keep Schedules and Details from Past Events and Allow The Details to Be Copied for Future Events them to future events

    Keep schedules and details from previous events in order to copy them to future events. I just went to an event that happened two months ago in order to copy it for next year. Only the main schedule seems to still be accessible. All of the other schedules associated with the event are gone. This is very disappointing and will be time consuming to try to recreate this large event. Our previous calendar system allowed us to copy forward past events and retained every detail. Would love eSPACE to have this feature as well. Would greatly increase the functionality.

    Great news! We’ve discovered that this idea has been completed through a series of updates made over the past year or so. When events (past, present, or future) are copied, nearly all the event details, spaces, resources, services, and schedules can be copied with them.

  19. Resources tied to specific spaces

    It would be helpful to be able to tie some of our resources to specific spaces. For example, we have some resources (production gear, furniture, etc) that are only available in specific spaces or a specific set of spaces. It would be helpful if those could only be selected when he related space is also selected or if that space could automatically be selected in the Item Setup.
