# Inventory Groups | Grouping Inventory Items and/or Equipment

## How to group multiple inventory items and equipment together- by building, category, work type etc.

Inventory grouping is part of Inventory Management feature, which is included in Asset Pro. Asset Pro is one of the features available on certain subscription tiers of tiers that come with having a Work Order & Asset Management subscription tier that includes Asset Pro!

For those that are on an eSPACE subscription tier which includes inventory Management (Asset Pro), all **Admins** within Work Order & Asset Management will have access to and can manage inventory types and items based on which departments/service categories/locations they have access to under their user permissions. Inventory Groups are a great way to organize individual inventory items and equipment by groups.

- If an Admin gives a Sub-Admin permission rights to manage inventory, they will also see the **Settings \> Advanced \> Inventory** tab on the left side menu bar and will be able to add and manage Inventory Types and Items based on the service categories and locations they have access to under their user permissions.
- For eSPACE subscription tiers that include Asset Pro, Admins and sub-admins can both be given the ability to also manage inventory requests under their user permissions: **Asset Pro | Inventory Request Form**

- EX: In the example above, an admin has grouped all the inventory items with the service category of HVAC in an Inventory Group called "HVAC". They have also grouped all the HVAC units by the service category of HVAC in the Inventory Group "HVAC". 
    - In order for them to be able to do this they have access to the HVAC service category under their user permissions as well as the same location that the equipment is assigned to.

#### **Grouping Inventory Items & Equipment**

2\. Then click the ![](https://support.espace.cool/hs-fs/hubfs/undefined-Feb-18-2026-01-51-17-5904-AM.png?width=166&height=28&name=undefined-Feb-18-2026-01-51-17-5904-AM.png) button, and enter the **Name** of your new group and a **Description.**

3\. Next, add Inventory by clicking ![](https://support.espace.cool/hs-fs/hubfs/undefined-Feb-18-2026-01-51-29-5471-AM.png?width=139&height=27&name=undefined-Feb-18-2026-01-51-29-5471-AM.png) or Equipment by clicking ![](https://support.espace.cool/hs-fs/hubfs/undefined-Feb-18-2026-01-51-35-0715-AM.png?width=114&height=27&name=undefined-Feb-18-2026-01-51-35-0715-AM.png).

 

- A. For **Inventory**, a prompt will appear for you to provide the **Item Type**, **Inventory Item** and the **Quantity**

- B. For **Equipment**, a prompt will appear for you to simply begin typing the name of the Equipment.

4\. Now, hit Save and you have an **Inventory Group** that shows thumbnails of each item's image (when provided).

5\. Additionally, you can also create an **Inventory Request** right from your Inventory Group

6\. After clicking ![](https://support.espace.cool/hs-fs/hubfs/undefined-Feb-18-2026-01-52-12-7738-AM.png?width=123&height=23&name=undefined-Feb-18-2026-01-52-12-7738-AM.png) :

1. Set the Destination Location for all items in the list
2. Set the Source Location for each item
3. Click Save

- Equipment is not included in Inventory Requests

7\. Once you click Save, the normal Inventory Request process can be followed.

#### **Viewing Groupings on Equipment**

When navigating to **Equipment** and selecting to **Edit** on a piece of equipment, you will see any associated **Inventory Groups** and **Inventory Items** with that particular Equipment. You can associate inventory items and equipment together under Settings \> Advanced \> Inventory \> Inventory Groups.
