Installing the eSPACE App in your Rock Account for Integration

How to start an event in Rock and push it to eSPACE or finish it in eSPACE depending on the event details

With the eSPACE Quick Event plug-in anyone who has Rock and eSPACE Event Scheduler will be able to use the plug-in to either 1. completely create and submit an event to eSPACE or 2. start creating an event in Rock and then finish the event creation and submission process in eSPACE depending on the event details.

  • All events that sync from Rock with the eSPACE plug in, must be submitted for approval and approved in eSPACE. 
  • Events are NOT designed to sync to eSPACE and be immediately approved. 
  • Once an event is "Pending" in eSPACE, any and all spaces and resources on the event are officially reserved. However, any events in draft mode in eSPACE do not reserve spaces or resources even if they are selected on the event. 

Setting Up the Integration

  • A. You will need a Rock account and an eSPACE Event Scheduler account.
  • B. In Rock, you will need to go to "Rock Shop", search for the eSPACE app, and install the app on your Rock account. 
  • C. Once installed, go to your Installed Plugins in your Rock account and select "eSPACE Quick Event by Smart Church Solutions". 
  • D. You will then be prompted to enter in an API key from your eSPACE account.
    • You can create an API key by navigating to your Profile icon at the top right of your eSPACE account, selecting Profile, and expanding the API Keys section at the bottom.

  • E. In order to connect Rock to your eSPACE account so that all events sync over (not just the one created in Rock through the eSPACE/Rock Plugin), follow the instructions in the article about "Rock to eSPACE for FACILITeSPACE Integrations", to learn more.
  • F. In order to see the selection of locations, categories, spaces, resources, and services that can be selected on an event in Rock, you must first have those added to your eSPACE account.

 

Creating an Event in Rock

1. In Rock, once you click on eSPACE Quick Event Create, start by entering as many details as needed. Each field with a red circle is required, so those will be the minimum fields that will need to be filled out. 

 

2. When choosing a location and category, you will see the locations and categories from your eSPACE account. These will automatically sync in, so no manual syncing is needed in order to see these.  

 

3. Next you will see all your spaces from your eSPACE account, as well as resources, and services so you can go ahead and choose those when building the event within Rock.

 

 

4.  Once you choose your space(s), resource(s), and service(s) and submit the event in Rock, 1 of 2 things will happen. 

Option One:

  • You will see a message that says "Event needs further information", which means you will need to log in to eSPACE and complete internal forms that are attached to spaces/resources/services before the event is able to be submitted for approval.

 

Option Two:

  • You will see a message that says "Event has been submitted to eSPACE, which means no further action is needed on your part in eSPACE and you can either submit another event or move onto something else.

 

"Event needs further information"

If you get the message that says "Event needs further information", you will need to click the button to navigate to the event in eSPACE and fill out the internal forms before you can submit the event for approval. 

A. Go to the Setup tab to find and fill out the forms.

B. There you will see any and all forms that need to be filled out.

 

C. Simply click on a form in order to see all the questions and type in your responses.

 

D. Once the forms are filled out, then you can submit the event for approval. All completed forms will show a green check mark next to them.  

 

E. Once an event is "Pending" in eSPACE any and all spaces and resources on the event are officially reserved.

  • Users in eSPACE will see the event is pending once it is submitted but they will not be able to approve it. They can also edit their event at any time, although changes that force the event back to a draft state will require the user to re-submit it for approval. 

       

  • Sub-admins in eSPACE will only be able to approve items (spaces, resources, and services) on the event if the event has items in their approval area in eSPACE otherwise they will just see the event as "Pending". Sub-admins can only edit events they are the owner or editor of.
  • Admins in eSPACE will be able to approve the event as well as change any details on the event.
