Disallow Events to be Created X days Before Event Start Time

How to prevent last minute events and encourage planning ahead

If you need a way to get your team and others who submit event requests to submit them days in the future, you can enable a setting in eSPACE that will force them to submit events only when they have a start date x days in the future.

If you need to prevent events being being edited last minute in order to avoid last minute changes and work for your team (especially your facilities team), you can enable a setting in eSPACE that prevents last minute changes x hours before the start time of events.

Require Event Requests to Be X Days in the Future

Don't allow Events to be Created with an Event Start Time sooner than X days in the future

  • There is also a setting for the public event forms that is configured separately.
    This setting only applies to internal events.
  • Apply Event Creation restriction X days to the Event Start to the Admins as well (OPTIONAL).

This feature is for the organization that wants to prevent its users and sub-admins from entering an event that is less than a certain number of days before the Event Start Date/Time (for example, no events created within 2 days). 

  • However, if the second portion of the setting is also enabled, then admins will also be prevented from scheduling a last-minute event.

 

This setting can be found under Settings > Advanced > General > EVENT CREATION and find the following setting:

 

Once you toggle this setting on, it will prevent all users and sub-admins from submitting an event X days before the start time. You can also decide to apply this to admins as well #1 OR leave it off (as shown).  You will enter the number of days for this restriction next to arrow #2.  

Now when Users go to enter an event, the dates are not available to select from the Date Selector

  • In our example, today is August 12, and you can see the first available date is August 15)

In addition, if manually entering the date, the User will see the following error upon hitting Save & Proceed:

 

 

Prevent Last Minute Edits

Don't allow Events to be Updated X hours prior to the Event Start Time -(including the next occurrence)

  • Apply Event Update restriction X hours prior to the Event Start to the Admins as well (OPTIONAL).

This setting preserves events from having last minute changes, which gives your team confidence and peace of mind that things are set and ready to go x hours before the start time of the event.

While the first part of this feature prevents users and sub-admins from making last minute changes to events. Unless you need to also apply that same restriction to admins, it best to keep the second part disabled that way admins can make last minute changes if necessary. 

When this setting is enabled for users and sub-admins, all users can use the Conversation tab on the event to communicate with admins and let them know when they need a last minute change.
