# Creating & Printing a QR Code for a Space for Work Order Requests

## How to create a QR code for a space so people can easily scan and submit work orders for a space

Often eSPACE users need to submit a work order request for an issue in a particular space. In order to make the process of submitting a work order request for a particular space as seamless as possible, admins in Work Order & Asset Management can create QR codes for each space, print them, and post them in the spaces for eSPACE users to scan. 

- **Printing**: You can print a QR code for an individual space *or* print QR codes for all spaces (as long as they are assigned to a location). Once these are printed, you can post them in the space for eSPACE users to scan and submit a work order request.
- **Who Can Fill Out a Work Order this way:** This feature currently does not allow non-eSPACE users or an eSPACE portal user to submit a work order request. For those people, we recommend using the public form or email to work order options.
- **This feature is available on certain subscription tiers of Event Scheduler and Work Order & Asset Management Bundled and Work Order & Asset Management only subscriptions!**
  
    - In order to know if this feature is included in your eSPACE subscription tier, please contact support@smartchurchsolutions.com.

### How to Create a QR Code for an Individual Space

1\. In order to do this, an admin in a bundled account or in a work order module only account can go to Settings \> Basic \> Spaces, click on the three dots of the space they want to create a QR code for, and select Space QR.

2\. Once selected, you will see a pop-up message that includes a preview of the QR code, options to A. Test, B. download, and C. the option to go to the Space QR Print Wizard.

**A. Scanning QR Code**

Scan the QR with your phone to test filling out a work order for that space.

- When you do, you will be directed to a webpage with the eSPACE log in.
- After signing in, you will see the work order request form to fill out for that space.
- Since this work order is designed to be for the space that is associated with the QR code, the space & location field will be locked.
- Note: Scanning the QR code does not open the eSPACE app and is designed to open a webpage in your phone's browser.

 

**B. Selecting "Test Destination"**

 This option will navigate you to another window where you can test filling out a work order request for that space.

- - Once submitted, you will be navigated to the page where you can view all tabs for that work order request and make edits if needed.

**C. Downloading PNG or SVG**

- By selecting either the download option for PNG or SVG, a file containing the QR code for that space will be downloaded to your computer. Once it's downloaded, you can open it and choose to print the QR code (print options, sizing etc will depend on the print settings on your computer).

**D. Print Wizard for an Individual Space**

- Selecting Print Wizard, will navigate you to a page in eSPACE where you can print the QR codes *for the space that you selected.* Once on that page, you will need to select an Avery Template option.
  
    - Please know that if the space you selected the QR code \> Print Wizard option is not assigned to a location, then it will NOT appear on this page. Spaces must be assigned to a location in order to see them and print them on an Avery Template.

- - You can choose whether or not your organization's name is included in the print.

- - Once you choose an Avery Template option, you can add additional text to be included.

- - When you are printing a QR code for an individual space, these fields (shown below) should be kept at the default value.

- - You can then choose the Print option or Download Raw Assets ZIP option. The print option will open a new window where you can preview the "print view" and the ZIP option will download the PNG and SVG files to your computer.

### How to Create QR Codes for All Spaces

1\. An admin in a bundled account or a work order module only account can go to Settings \> Basic \> Spaces, select the drop down arrow next to Add New Space and choose Print Space QRs.

2\. When selecting the QR option from the Space page, the Space QR Print Wizard will show you the QR codes for all the spaces (assuming they are also assigned to a location).

3\. In order to see more of the spaces, use the scroll bar to the far right.

4\. Choose an Avery Template from the drop down menu.

5\. Choose whether you want your organization's name included or not on the print out.

6\. Add additional text if you want, however, keep it short in order to make sure that it fits.

7\. Click the Print option or Download Raw Assets ZIP option. The print option will download the file with all the QR codes for the spaces and the ZIP option will download the PNG and SVG files to your computer.  Once downloaded onto your computer, the print option will depend on the print options on your computer.

- In the zip file there will be a folder for each space, where each folder contains the PNG and SVG version of the QR code.
