# Billing & Invoicing | 3 Customizing an Invoice

## How to add items, a discount, deposits and more to an invoice

**Billing & Invoicing is a great feature available on certain subscription tiers of Event Scheduler!**

### **Overview**

For those that are on an eSPACE subscription tier which includes Billing & Invoicing, users with access will be able to create a new invoice either on an event OR by going to Billing & Invoicing \> Invoices in your left side menu bar inside Event Scheduler.

### **1. Adding Items**

On the invoice under Billing & Invoicing \> Invoices, you can add items (products) to the invoice. Click "**$ Add Item"** to add an item.![](https://support.espace.cool/hs-fs/hubfs/undefined-Feb-20-2026-07-58-43-6033-PM.png?width=670&height=152&name=undefined-Feb-20-2026-07-58-43-6033-PM.png)

A window will open where you can choose **Select a Product** to select an existing product or you can add a new invoice item and **SAVE** (see second attachment).

### **2. Reviewing the Price of Items & Adding Discounts**

Once you are finished with adding your items, they will be displayed within your **Invoice Items** with **Quantity, Unit Price, Subtotal, Tax Rate** and **Total Price** of each, as shown below.

- You can search, edit or delete an item, apply a discount, and export the item list to Excel.

### **3. Deposits**

5\. If you want to **Require a Deposit**, be sure to select this option below **Deposit Options**. You will then be able to choose a **Deposit Type**. You can select **Percentage** and add desired percentage OR you can select **Fixed Amount** and add desired deposit amount. 

- The deposit will not show on the proposal as it is only designed to show on the invoice since the invoice is what is requesting money/transaction.

### **4. Memo**

If you've already added memo notes within **Invoice Settings**, they will automatically be populated here. ### **5. Attachment**

Once attachments are added to the invoice, you can also choose to add them to the email that gets sent to the end person.

### **6. Internal Notes**

Add any additional notes that you want to include within the invoice here. ### **7. Reviewing Invoice History Changes**

Each invoice has a history log where you can view changes made to that invoice. Just click t expand the **"History"** in order to see the changes. You can also search for changes in the search bar as well as sort and filter within any of the columns. Click in a column header in order to sort and click the filter icon in the column header to see the pop up box with the filter options. You can also export the history to an Excel file.

**Viewing Your Subscription Details**

- Each eSPACE admin with access to Billing can view what subscription tier your organization currently has and everything that is included in their account under Settings \> Other \> Billing \> Manage.
