[Advanced Settings](https://support.espace.cool/espace-knowledge-base/event-scheduler?hsLang=en#advanced-settings) # Approval Areas | How to Give Sub-admins Approval for Certain Items ## How to create an approval area so different spaces, resources, and services on the event can be approve by different users Sections in this article: - **Creating an Approval Area** - **Deleting Approval Area** - **Editing Approval Area** - **How Sub-admins Can Check To See What They Need to Approve**   Most campuses have spaces, resources, and services that need to be approved by certain individuals. In eSPACE, admins can create approcal areas so that specific users can approve the items in those approval areas on events. This allows different parts of the event to be approved by different staff emebers. Admins can set up **Approval Areas** that include Spaces, Resources, and Services and are assigned to sub-admins in order for different staff members to approves the part of the event that they are in charge of such as IT, security, child care etc.... - This is an optional feature that is designed to be used only if you intend on having Sub-Administrators. Sub-Admins can only approve or decline their assigned Approval Areas. Even though they can approve items on the event, they still *cannot* make changes to events unless they are the creator or editor. #### **Creating an Approval Area** First, go to Settings \> Advanced \> Approval Areas and Select "Add New Approval Area" (see below). ![](https://support.espace.cool/hs-fs/hubfs/undefined-Feb-18-2026-01-33-55-9690-AM.png?width=670&height=328&name=undefined-Feb-18-2026-01-33-55-9690-AM.png)   Second, add an Approval Area name for which you want a Sub-Admin to approve. ![](https://support.espace.cool/hs-fs/hubfs/undefined-Feb-18-2026-01-34-03-0489-AM.png?width=670&height=178&name=undefined-Feb-18-2026-01-34-03-0489-AM.png) Third, start typing the Sub-Admin that you gave permission rights to (**SettingsBasicUsers**). Once you start typing the Sub-Admin’s name, it should appear in a drop-down. ![](https://support.espace.cool/hs-fs/hubfs/undefined-Feb-18-2026-01-34-09-4047-AM.png?width=605&height=230&name=undefined-Feb-18-2026-01-34-09-4047-AM.png)   Fourth, choose the spaces and/or resources and/or service that you want that sub-admin to approve on events. **![](https://support.espace.cool/hs-fs/hubfs/undefined-Feb-18-2026-01-34-16-4799-AM.png?width=670&height=448&name=undefined-Feb-18-2026-01-34-16-4799-AM.png)**   Last, click **SAVE.** ![](https://support.espace.cool/hs-fs/hubfs/undefined-Feb-18-2026-01-34-25-1419-AM.png?width=284&height=110&name=undefined-Feb-18-2026-01-34-25-1419-AM.png)   Continue to add Approval Areas as needed and repeat the process above.   #### **Deleting Approval Areas** You can **delete** an Approval Area by clicking the red delete button associated with the Approval Area, and process accordingly. ![](https://support.espace.cool/hs-fs/hubfs/undefined-Feb-18-2026-01-34-37-2094-AM.png?width=670&height=76&name=undefined-Feb-18-2026-01-34-37-2094-AM.png) #### **Editing Approval Areas** **Edits** can also be made to Approval Areas by clicking the green button associated with the Approval Area. ![](https://support.espace.cool/hs-fs/hubfs/undefined-Feb-18-2026-01-34-44-9860-AM.png?width=670&height=241&name=undefined-Feb-18-2026-01-34-44-9860-AM.png)   When an event is created and submitted for approval with item(s) requiring approval from a Sub-Admin, an email notification will automatically be generated to the assigned Sub-Admin(s) requesting approval.   The Sub-Admin, will also see the event requests with items requiring approval on their "**Requires Sub-Admin Approval**" grid where they can **Approve** or **Decline** at the item level. -
