Work Order Management

  1. Priority text color should be black if priority colors are lighter shade (ie, yellow)

    I wanted to use a standard Red / Orange / Yellow / Green color scheme for my priority levels, but with orange and yellow, the text labels in the dashboard tables are not readable because the text is always white and contrast is very low. System should either: 1) limit available colors to darker shades (not preferable) OR 2) set priority text to black if priority color is set to a lighter shade. Shoot for a contrast ratio of 4.5 or greater for best readability (https://webaim.org/resources/contrastchecker/).

  3. Rename "Requires Administrative Approval" to Requires Sub-Admin Approval"

    On the Dashboard it would be helpful to have all the grids reflect the roles. As a new user group to eSpace my staff has found the "requires administrative approval" grid title confusing when looking for sub-admin approvals.

  5. dashboard search

    Since we have similar events on each of our 5 campuses, it would be nice if the dashboard search feature would show the location of the event - so when I search for Step One, i would be able to distinguish Peoria's Step one from Galesburg's Step one.

  8. Rejecting a work order closes it

    leaving rejected work orders as in progress seems to clutter up that list. Can we have rejecting a work order close it out, unless it gets edited and resubmitted

  10. Configurations should have an option for a description, or notes

    I have 6 different configurations that have very different details, but similar pictures. I would like to be able to describe for what event you would choose a specific configuration.
    Currently I have to add all this information in the title of the configuration and it is hard to sort through all the info as is.

  11. Allow Setup and Teardown times to be different days than the event

    We have many events that get setup the day before, or even a Friday before a Sunday event. We need to be able to use the setup time to reserve the space for that whole time.

  12. Event Request Form-move recurrence rules

    Because we added custom questions to the event request, the event recurrence rules are at the bottom of page one, completely separate from where the event date/time, etc. are, towards the top. It seems that the recurrence info should be below the event date, with all of the other pertinent date/time informatio; followed by our custom questions. Not separated. Confuses users.

  16. Ability to APPROVE Event from WITHIN the Details/Summary

    From my dashboard, I have to open events to review them for accuracy, then get out of the details to hit the approve or decline button; would be nice to save a step and NOT have to go back to the dashboard every time. Especially when there are many entries for approval waiting and I have to scroll to find the one I was just in.

  17. Ability to turn the immediate 'Event Approved' emails OFF

    Contacts listed in the event automatically receive the 'Event Approved' email, but with no information about the details of their event. If that email was the email summary, with the ability to add a note, then it would be helpful. We would like the ability to choose to send, or not to send those immediate emails.

  18. expand custom schedule in PMs

    Now that we have "custom" scheduling... It would be nice to actually be able to set a custom schedule like every two months, every 3 years, every 4 years. We schedule UPS batteries for three year replacements. We schedule lightbulb replacements in different intervals as well. Right now the custom feature only works in a given year. Presently, we have to set up a one-time occurrence and then hopefully not forget to reschedule three years later, etc.

  19. convert an email to a work order

    Often I receive an email that a user does not even know could have been entered as a work order. It would be super convenient to have a button in the email (outlook) that allows me to convert automatically to a work order. Alternatively, it could work to have an email address to forward it to that would do the same (i.e. convertedworkorder@espace/fbctn.org). I do remind people of entering things into eSpace, but I like making it as seamless as possible for the user.
